We are committed to protecting and respecting your privacy. This policy (“Privacy Policy”) (together with our Terms of Use and Code of Conduct available on our Website at www.pmapmentoring.org or www.pmapnetwork.org or www.projectmanagersagainstpoverty.org (“Terms”)) applies to your use of the Website and participation in the mentoring programme facilitated by PMAP and its partners sfG Software Ltd (the developers of the MentorNet software) and LINGOs (together, “Project Partners”) (“Mentoring Programme”) and sets out the basis on which any personal information we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our practices regarding your personal information and how it will be treated.

By accessing or using the Website (including submitting any information via the “Contact” section of the Website), you are consenting to the processing of your personal information in accordance with Sections A and C of this Privacy Policy. By registering for the Mentoring Programme, you are consenting to the processing of your personal information in accordance with Sections A, B and C of this Privacy Policy. If you do not agree to the processing of your personal information as explained in this Privacy Policy, we do not grant you permission to use the Website and you must not make any use of the Website or participate in the Mentoring Programme.

SECTION A - Accessing or using the Website

The information we may collect from you

The information we may collect from you

We may collect any information (including any personal information) that you provide to us when corresponding with us by phone, e-mail or otherwise, or when submitting any information via the “Contact” section of the Website (for example, name and contact details). If you contact us with a complaint or query, we may keep a record of that correspondence to ensure we provide a good customer service.

We may also ask you to complete a survey, for example, about our Website or the Mentoring Programme. The personal information that you provide through a survey is not shared with third parties unless we receive your prior consent. If we use an intermediary to conduct a survey, we will ensure that your personal information is protected in accordance with this Privacy Policy. You do not have to respond to any survey. We may use anonymised information obtained from a survey for research purposes or to monitor and improve the Website and Mentoring Programme.

With regard to each of your visits to our Website we may automatically collect the following information:

  1. technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, your browser type and version, time zone setting, browser plug-in types and versions, operating system and platform;
  2. information about your visit, including the full Uniform Resource Locators (URL) clickstream to, through and from our site (including date and time), page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page.

Disclosing your information

We may disclose your personal information to third parties (a) in the event that we sell any business or assets, in which case we may disclose your personal information to the prospective buyer of such business or assets (and its advisers, as applicable), (b) if PMAP or substantially all of its assets are acquired by a third party, in which case personal information held by us about our users will be one of the transferred assets, or (c) if we are under a duty to disclose or share your personal information in order to comply with any legal or regulatory obligation or request.

We may also disclose your personal information (a) to enforce any part of the Terms and other agreements or to investigate potential breaches or (b) to protect the rights, property or safety of PMAP, our mentors and mentees or others.

We may share aggregated anonymised demographic information with business partners.

SECTION B - Registering for the Mentoring Programme

We may collect any information (including any personal information) that you provide to us when (i) registering for a user account on the Website; (ii) submitting any online registration forms through the Website; or (iii) creating a user profile on the Website in order to participate in the Mentoring Programme. When you register for a user account, submit an online registration form and/or create a profile, you provide us and our Project Partners with certain personal information (e.g. name, contact details and location) as well as business information (e.g. title, industry and description of business experience). We may also collect demographic information including your age group, gender, ethnicity, country of origin, language(s) spoken and any other personal or preference information that you provide to us.

We collect this information to enable you to have a user account on the Website, to match you with a suitable mentor or mentee and for any other purposes described in this Privacy Policy. You understand and agree that we may verify your profile to the extent permitted by applicable law if we deem this is necessary to confirm your identity and your suitability and eligibility to be a mentor or mentee.

We may ask you to submit references to us before being accepted into the Mentoring Programme. PMAP stores this information for the sole purpose of conducting reference checks. The referee may contact PMAP at support@pmap.email to request the removal of this information from our database.

Please note that while your profile is not publicly available, users who are participating in the Mentoring Programme and are identified as suitable matches will be able to see your profile, which would include your personal information. We are not responsible for personal information that you have made available to other participants.

Our Project Partners and/or other users who are participating in the Mentoring Programme may be accessing your personal information from countries outside the EEA whose protection of personal data may not be equivalent to that in the EEA. Where this is the case you consent to such transfer.

We will not transfer information that you provide to us outside of the EEA otherwise than in accordance with UK and EU data protection law.

We and our Project Partners may use anonymous versions of feedback that you provide and/or features of your profile to evaluate the outcomes of the Mentoring Programme and promote PMAP, our Project Partners, and the Mentoring Programme to third parties.

With your explicit permission, we may use your personal details to promote PMAP, our Project Partners and the Mentoring Programme. You will be contacted before any release of such information for PMAP's and/or our Project Partners’ promotional purposes, and you may withdraw any permission that you may grant at any time.

Passwords

If you create a user name, a password or any other authentication information as part of our security procedures, you must treat such information as confidential. You must not disclose such information to anyone else and must take appropriate steps to keep your information secure by not using an obvious login name and ensuring that you keep your password confidential and change it regularly. If you know or suspect that anyone other than you, or anyone authorised by you, knows your user name, password or any other authentication information, you must promptly notify us using the contact details below. You are entirely responsible for all activities that occur through use of your user name, even if another person was using your account at the relevant time. We are not responsible for any losses or liabilities arising out of or in connection with any unauthorised use of Website.

Cancelling your account

You can delete your profile and/or cancel your account at any time by emailing us at the email address below. When you cancel your account, we will delete any personal information we hold about you apart from any information which is held in our back-up systems. Back-up data is deleted periodically.

SECTION C - Miscellaneous

Marketing

We may use your information (including any personal information) to provide you with information about our products and services which may be of interest to you. If you do not want us to use your information in this way, we will give you the opportunity to opt-out of receiving any such marketing communications at the point where you provide us with your contact details and in each subsequent marketing communication that we send to you. Please note that if you opt-out from receiving marketing communications, we may still contact you about service-related issues, such as where we make any changes to the Website or the Terms of this Privacy Policy or to facilitate the Mentoring Programme.

Security

Unfortunately, the transmission of information via the Internet is not completely secure. Although we will do our best to protect your personal information, we cannot guarantee the security of your information transmitted via the Website or through our email system; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

Access to information

You have a legal right to access information we hold about you. Any access request you make may be subject to a fee to meet our costs in providing you with details of the information we hold about you.

Changes to privacy policy

We may change this Privacy Policy at any time. Your continued access or use of the Website and/or participation in the Mentoring Programme after such a change signifies your acceptance of the updated or modified Privacy Policy. We may email registered users about any material changes to the Privacy Policy and we may notify you of a change to this Privacy Policy when you next log into the Website. The new Privacy Policy may be displayed on-screen and you may be required to agree to it to continue your use of the Website. The date this Privacy Policy was last updated appears at the bottom.
